How Scenda can support your institution's application process
12 October 2026

An application can stall because a document is missing, a learner does not understand the next step, or an admissions team needs information that has not been supplied. Scenda wants to help institutions and learners move through that process with clearer information and practical support.
For universities, colleges, bursary providers and student housing teams, the starting point is a conversation about your application process. Where does work pile up? Which questions do applicants ask repeatedly? What would a complete application look like for your team?
What Scenda can help with
Scenda helps learners organise their details, study choices and supporting documents. Its institutional pilot tools let Scenda record agreed handovers and let authorised institution staff acknowledge complete packs or return them for correction.
For an academic institution, the existing admissions portal brings applications, required documents and decisions into one place. A pilot can be limited to an agreed intake and selected programmes. Bursary and housing workflows need their own agreed scope; the first institutional pilot tools focus on study applications.
A practical partnership could cover:
- Helping applicants understand the institution's published requirements.
- Checking that agreed information and documents are present before handover.
- Following up on missing items through an approved support process.
- Giving the admissions team a clear queue of applications to review.
- Tracking receipts, corrections and outstanding work.
Checking completeness is not the same as authenticating a document. Where official verification is needed, we agree who performs it and which evidence is accepted.
You retain control of admission
Your institution approves its programme requirements, deadlines, fees and document checklist. Your authorised staff decide on offers, conditions, waitlists and declines.
Scenda does not promise an applicant a place. An application submitted to Scenda is not automatically an application received by an institution. The handover needs an agreed channel and evidence of receipt. Acknowledging a complete pack is also separate from making an admission offer.
This distinction gives applicants a clearer answer when they ask: "Where is my application now?"
Work with your existing process
The first step does not have to be a replacement admissions system. We can discuss a Scenda portal workflow or an institution-approved handover process.
Connections to your existing student or admissions system require discovery, your approval and a supported interface. API integration and single sign-on are subsequent implementation work, not features we assume are already connected to your institution.
Agree the service and its cost
Depending on the work involved, a proposal may include an onboarding fee, a platform fee and a processing fee for an agreed completed application. Volumes, exceptions and what counts as one application must be defined before work begins.
Scenda service fees and institution application fees should be shown separately. Where an institution sponsors learner support, the agreement must make clear what is covered so a learner is not charged again for the same work.
We do not publish a universal institutional tariff: a small intake and a complex integration need different scopes and prices.
Share the information needed for the application
Learners' information should be shared for a defined application purpose, with appropriate authority and access controls. The institutional portal limits access to the destination institution's applications and required document types.
Before a real pilot, agree data-processing responsibilities, retention, incident escalation and any additional security requirements. POPIA's operator provisions include written security arrangements between a responsible party and its operator. See the Information Regulator's security safeguards guidance.
Book a partnership conversation
Tell us which intake or application process you want help with, roughly how many applicants you expect and what system your team currently uses.
Book an introductory partnership meeting. We will discuss your needs, explore a suitable way to work together and agree on the next steps. You can also read about partnerships on Scenda.
